What Is The Value of Your PDF?

Have you ever considered the financial value of your PDF documents?

This may seem like a strange question on its face however take a few moments to really think about it.

Once you have answered that question, ask yourself how much your business is losing because your PDF documents are not properly protected.

If any of your business's intellectual property (IP) is held in PDF documents, it is imperative, now more than ever, to make sure that they are protected and that they cannot be easily copied and shared.

Let’s look at an example.

Document Security

A lot of businesses that offer training courses have to make sure that their IP, the training materials, are protected in order to continue successfully recruit students.

Prior to the worldwide COVID-19 pandemic, this was easily achieved with in person classes where the learning materials were handed out at the beginning of the course and then collected at the end.

How To Set a PDF To Expire Days After Being Opened

As useful as setting an expiry date on a PDF is, sometimes you just don’t know if the person you are sending the PDF to will have a chance to review the document in time. This is especially true for course materials where it is useful to protect the documents with an expiry date but the actual courses may have multiple student intakes with varying starting dates. It can be useful to set the PDF to expire so many days after the student opens the course material; the course duration for example.

In All-About-PDF, you can set a PDF’s expiry date to be relative to when the document is first opened. This is achieved using our ground-breaking digital rights management (DRM) technology.

Let’s look at an example of how to set a PDF file to expire 365 days after being opened. Follow the steps below:

  1. Download and open All-About-PDF

  2. Click on the SET EXPIRY button

  3. Click the “…” button and select the PDF file you would like to process

  4. Select the Use All-About-PDF DRM option

  5. Select the Expire X days after first viewing and set the number of days to 365

  6. Check the box for Use internet time… so that the document expiry cannot be bypassed by changing the user’s system date

  7. Provide a custom message for when the PDF expires.

  8. Hit the GO button and apply the settings to the PDF. The document will be saved with a PDFE extension in the same folder as the original file.

How To Split PDF By Document Contents

Splitting a PDF is a very useful feature for many reasons. For payroll processors, one common scenario is where the payroll software exports all the paystubs as a single PDF document and this PDF then needs to be split into individual pay stubs that can be sent to the respective employees.

One of the challenges when splitting such a PDF is that you don’t always know where to split the PDF as the different paystubs can be of varying lengths for different employees. For example, one employee’s paystub can be 3 pages long where as another employee’s may be just 1 page. The PDF splitting process should know where to split the PDF for all the different employees.

In All-About-PDF, we have added new method of splitting PDFs where you can specify the location for a specific text pattern to be searched and if this is found, the program will know to split the PDF on this page. This could be, in our example, the employee number or identifier.

All-About-PDF uses standard wildcard notation for matching the text to a pattern and below are some examples for common scenarios:

  • Any word or number: *

  • Any 5 letter word: ?????

  • Any 5 number word: #####

  • 2 letters followed by 3 numbers: ??###

  • Any word starting with A: A*

  • Any word containing the letters “AIP”: *AIP*

  • Any word ending with X: *X

  • Any word starting with a number and ending with X: #*X

  • Any word starting with A and ending with a number and the letter G: A*#G

  2. Select the PDF document that you would like to split

  3. Select the folder where you would the resulting split files to be saved

  4. Specify the file name of the split file - the text from the PDF will be appended to this name

  5. Select the “Split by matching text pattern…” option and provide the pattern to search for

  6. Click the “SELECT”/”RESET” button to show a preview of the PDF and then specify the location of the text on the page by selecting it with your mouse

  7. You can specify to use the text from the PDF as the resulting file name as well as the start and end pages of the split PDF. These are denoted by the special variables {{pdfselection}}, {{pagefrom}} and {{pageto}}

  8. Click the SPLIT button to begin the splitting process

PDFS4LIFE Update

We would like to thank everyone that has bought, downloaded or shared All-About-PDF. Because of you, we have been able to provide assistance to the children of St Mary’s Nursery, Nkhotakota over the past year.

Even though the nursery closed for a few months due to the pandemic, our contributions to the PDFS4LIFE fund did not stop. Consequently, the nursery school is now in greater shape than ever and is ready to welcome the children back.

To welcome the new nursery school intake, we recently held a get-together for the children from the nursery school as well as those from the surrounding villages and by end of the event, we had entertained and fed over 500 children!

What is Digital Rights Management (DRM) Protection

Digital Rights Management is a far-reaching term that refers to any scheme that controls access to copyrighted material using technological means. In essence, DRM removes usage control from the person in possession of digital content and puts it in the hands of the copyright owner.

What are PDFe Files?

All-About-PDF’s PDFe files are encrypted PDF documents that have an expiry date. They allow the document author to specify when the PDF document is no longer valid. In the near future, these documents will include more features such as geolocation lock (where a document can only be viewed in specific regions), domain lock (the document can only be viewed by users of a specific Windows domains) and remote kill-switch ability (the document author can remote render the document invalid).

These features are very useful for authors of valuable intellectual property such as online course materials, engineering designs, architecture drawings etc. This allows the authors to share their copyrighted material while maintaining full access control to their intellectual property.

In order to maintain high security, the PDFe file specification is proprietary to All-About-PDF and can only be opened by our special document readers.

How To Convert And Save Email Messages To PDF

There are many reasons a person would want to save an email to PDF including archiving purposes or sharing an entire email thread in a more readable form. Lets also not forget the options that become available once the email has been saved to PDF such as password-protecting the PDF for security.

With so many platforms and email applications available to us, what are the best ways to save email messages to PDF?

Windows

If you are using Microsoft Windows, the best way to save email messages to PDF regardless of the email client is to use a PDF Print Driver. The latest versions of Windows come with a PDF Printer so you don't even need to download a third party solution. For older versions, there is a plethora of PDF Print drivers online and once one has been installed, saving the email to PDF is just a matter of going to the print menu and selecting the PDF Printer.

If you are using the default mail client, Apple Mail, in macOS, you can save an email message to PDF by selecting "Export to PDF" from the File menu.

If you are however using another application that doesn't have a dedicated function to export email messages to PDF, you can use “Save As PDF” from the system print dialog.

Android

Similar to Windows, exporting email to PDF is just a matter of printing the email to PDF and then selecting where you would like it saved.

iOS/iPadOS

Some mail apps in iOS have dedicated functionality to export messages to PDF where as others don’t. For those that don’t, such as the default Mail client, you need to select Print from the Share menu. Once the print preview is displayed, use the 2 finger pinch-out gesture to expand the first page; this action automatically converts the email to a PDF which can then be shared or saved.

How To Work From Home Like A Badass

Working from home is usually awesome and until recently has been seen as a luxury afforded to us by our respective employers. However due to the COVID-19 pandemic, many of us have found ourselves having no choice but to work from home.

As we have learned, there is a huge difference between working from home once in a while and working from home during a pandemic. We now have to contend with getting work done while children need our attention, neighbors mow the lawn during our Zoom meetings, dogs barking etc etc.

How do we make sure that our performance is not too adversely affected by this sudden change in our work paradigm? Below are some suggestions.

Establish A Routine

The most important thing you can do to kick ass while working from home is to establish and stick to a routine. Start with setting an alarm that gets you out of bed at least an hour before you have to start working. Working from home is no excuse to wake up minutes before starting work. Shower, dress and follow almost the same routine as if you are going out to your office that way your mind gets into work mode. 

Just as important, make sure you schedule in breaks and have a stop time when you leave work for the day. It’s easy to unknowingly stay “ON” even after the work day and it is imperative to switch off notifications from work until the next day to avoid fatigue and burn out.

CREATE a FORMAL Workspace

Working from home shouldn’t mean working from your bed or couch. Establish a designated workspace that gets your mind into work mode. Keep the space as clean as possible so that its attractive to return to. Try to keep interruptions and distraction to a minimum by either closing yourself off in your work space or by wearing noise cancelling headphones. 

Setup Daily Targets

A simple to-do list can work wonders for keeping you organized and motivated. Create a list of items that you have to accomplish by the end of the day in the order of importance and urgency. Share the list with your team and then assign a completion time to each item. When you find yourself procrastinating, revisit the list to get back on track.  Checking off those goals lets you know that you are making progress and gives you positive reinforcement throughout the day. 

Exercise In The Morning

There are many known benefits to working out in the morning. You will be more awake and alert as the body will be filled with the Cortisol hormone. 

When you exercise, oxygen and nutrients travel to your heart and lungs which results in a boost in energy to fuel you during the day. It also fills your body with endorphins (happy hormones) that can reduce stress and depression. Science!

Need one more reason to exercise in the morning? A 2019 study published in the British Journal of Sports Medicine found that physical activity improves focus and concentration, visual learning and decision-making.

Time-box Your Activities

How do you eat an elephant? One spoonful at a time!

When you are facing a big task to accomplish during your work day, it can be hard to get started as the goal appears unreachable. To overcome this feeling, break it down into smaller tasks and then set time boxes for working on each item. When the time box lapses, reward yourself with a short break and snack before returning to start another time box. Before you know it, the elephant will be completely eaten!

6 Essential Things Security Experts Do To Protect Their Own Data

Use a Password Manager

The majority of people use very simple passwords and reuse them on multiple websites. The main reason for this is because they want something that is easy to remember. I mean, how can you create a unique 13 character password for every website and be expected to remember each one? The answer is by using a password manager.

Password managers not only store your login information for all the websites you use but can also generate strong passwords for you. They encrypt your password database with a master password which is the only one you have to remember. To preserve our device battery and carrier data, it is often very tempting to connect to free WiFi hotspots in public. However, the majority of these networks are unencrypted and unprotected. If you absolutely have to use a free WiFi network, it is best practice to avoid using it for any web browsing that includes sensitive information.

People use them to store tax documents, bank statements, passport scans, birth certificates and more. While these websites may seem like good value and are very convenient, its very important to remember that once you upload your document, you have lost control of what happens to the information contained within it regardless of what the terms of usage state. Feature Update - October 2019

We are pleased to announce the release of All-About-PDF Build 1050. In this release, we have taken our most popular feature, the ability to set a PDF to expire after a specific date, and made it even better!

As you may already know, when a PDF has a set expiry date, not only are the contents of the document visible after the expiration date, the entire feature is completely voided if the consumer’s PDF reader does not support PDF scripting.

To overcome these shortcomings, we have added a feature that will allow you to obscure the contents of the PDF when the PDF has expired or if the PDF reader does not support scripting.

PDF Reader Biz (Foxit) Breached

Foxit has detected that unauthorized access to some of its data systems has taken place, including access to its ‘My Account’ user account data. This means that data you have entered on our website when signing up for our services has likely been accessed by hackers,

Compromised information could include user names, email addresses, their company names, phone numbers, passwords and IP addresses.

This is just another reason we at All-About-PDF do not require our users to create accounts just to use our software. We simply do not wish to be responsible for holding your personal information if we cannot guarantee that we can keep it secure.

How To Create Personal Automations Using iOS 13.1

Yesterday, Apple released iOS 13.1 for iPhone and iPadOS for iPad. The feature that has me really excited in this release is Personal Automations.

In past versions of iOS, you could set up Home Automations using the Home or the Shortcuts apps so that your HomeKit enabled accessories could react to changes in conditions around the the home. For example, you could have your garage lights come on automatically at sunset or change the temperature on your thermostat whenever you leave your house.

Personal Automations take this basic concept and applies it to conditions affecting your iPhone or iPad. For example, you can now set your iPhone to being playing a specific music playlist whenever you arrive at home. Or you can automatically send an iMessage at a certain time of the day.

I travel a lot between the UK and the US so when I am away, I have a Personal Automation that sends my children a goodnight message every day at 3PM EST (8PM UK) time.

I also love to fly drones so I have another Personal Automation that turns on Do Not Disturb as soon as I open the DJI GO app. The potential of these automations are only limited by your imagination and can include features such as creating or marking up PDF documents.

So how do you create a Personal Automation in iOS 13.1?

First, find the Shortcuts app that now comes preinstalled with iOS 13 and open it. Next, at the bottom of the app, select the "Automation" tab and then hit the "+" button at the top right to begin asdding a new Automation.

Select "Personal Automation" and you will be presented with a list of trigger types to pick from. These vary from events such as time of day or alarms to phone setting changes such as when you join WiFi or you open a specific app.

Each choice of trigger will give you further options to tweak just the way you want before you are presented with a screen to add the Actions that will occur when the trigger is fired.

There are so many Actions that I couldn’t possible list all of them in this article and more are being added by third party developers all the time. You can also also chain together different actions together into complete workflows!

Once you are satisfied with your setup, hit the "Done" button to save your Personal Automation.

Inspired By Tacos4Life, PDFS4LIFE

Last week, for lunch, I took my family to Tacos4Life. I ordered their delicious Korean BBQ steak Tacos and enjoyed every bite of it. As I sat there enjoying the summer atmosphere and the food, I couldn't help but admire their mission to "Eat a Meal. Give a Meal". Basically, for every taco, rice bowl, quesadilla, salad or nachos you enjoy, $0.22 is donated to Feed My Starving Children. Meal 4 Meal.

That amount might not seem like much on its own but with every meal purchased, they have donated over 10 MILLION meals to children in need.

What Tacos4Life has achieved has really inspired me to create the PDFS4LIFE initiative. I asked myself, what if a percentage of every All-About-PDF sale was donated to a similar cause. That too could make a difference regardless of how small it seems. As the Dalai Lama once said:

After our lunch, I WhatsApped my family and friends on how best to approach this and landed on an idea from my mother who lives in Sani (Nkhotakota), Malawi.

She suggested to start off by donating 5% of every sale to a village nursery school where she volunteers. The nursery school is operated by St Mary's Anglican Church and runs almost entirely on volunteers and donations. The nursery school not only teaches the children from the surrounding villages, they also provide clothing and meals for them. It is not an exaggeration to say that for most of the children, the food they are given at the nursery is the only food they see that day.

Together with the church, we have now set up a dedicated bank account for PDFS4LIFE and we will be donating 5% of all our All-About-PDF sales to them on a monthly basis.

This is a cause that I am very passionate about and I can't wait to see what a difference it makes to the children of Sani, Nkhotakota.

In bucking the industry trend and offering a single perpetual license cost, where buying a license means that you own the software forever, coupled with our ease of use and powerful feature-set, our offering has become very popular.

We have been getting a lot feedback from existing and potential users and there is a question that keeps popping up and that is:

how come we do not offer a subscription licensing model and will we ever offer one in the future?

Well, the thing we care more about than not forcing users into a paying a monthly fee to use our software, is giving users a choice. Whilst we may not be in favor of subscription plans for software, we can also acknowledge that there are users out there that prefer this model of payment.

We are therefore pleased to announce that, starting today, you can choose to pay for All-About-PDF in two ways:

wanting to merge, split, convert and manipulate PDf to other formats to Microsoft Word? You can now choose between perpetual and subscription licensing.

Perpetual Licensing: as before, we will continue to offer a perpetual license for the price listed on the pricing page. Once purchased, you 100% own that version of All-About-PDF forever and are entitled to free support and upgrades (new features and bug fixes) for 12 months.

Subscription Licensing: With this newly introduced model, instead of paying a single price of $79.99 (as of writing this article) for the perpetual license, you only have to pay $7.99 per month to use All-About-PDF. Once you decide you no longer need to use the software, you can cancel your subscription and the software will cease to work.

How to Convert Full Webpage to PDF in iOS 13 and iPadOS

In the previous article, we talked about some of the new productivity features that Apple has added to iOS 13 including features such as dark mode, mass storage support, SMB server access and more.

One feature that we didn’t go into detail about was how iOS 13 and iPadOS now allow you take a screenshot of an entire webpage, mark it up and save it as a PDF.

To do convert a full webpage to PDF in iOS 13, follow the steps below.

  1. In Safari, open the webpage that you would like to convert to PDF

  2. Press the Power button + Home button together (on devices with a Home button) or the Power button + Volume Up button on devices without to take a screenshot.

  3. Open the screenshot from the bottom left corner of the screen

  4. You will notice a new tab option at the top of the screen where you can toggle between a screenshot of the just the current screen or the entire length of the web page. Select Full Page.

  5. As you can see, you can now scroll through the entire page as a PDF

  6. Use the Share icon to send the PDF to others, print it, save it to the Files app and more.

New Productivity Features Coming to iOS 13/iPadOS

Apple yesterday announced some of the new features coming to iOS 13 and also announced that the iOS version for iPad will be known as iPadOS. This makes complete sense as iPads have gotten more powerful hardware, it was always the software side that seemed to be holding it back from becoming a real productivity platform. That changed yesterday with the announcement of iPadOS.

Here are just some of the new features coming to iOS 13 and iPadOS

Ability to Convert An Entire Webpage to PDF

Unlike previous versions of iOS where taking a screen cap of a webpage only presented you with what was currently visible on the screen, iOS 13 and iPadOS now gives you an option to capture the full length of a webpage and save it as a PDF. We have written a detailed explanation of how this works and you can see that here.

Dark Mode

We all know that you can't really claim to be productive until you are working in Dark Mode right? Well iOS 13 and iPadOS come with an optional new look that turns the UI from the mostly white and light gray pallette to a dark one with with mostly black (true black RGB(0,0,0)) and dark gray. This will be more useful on the OLED based iPhones as it will reduce the amount of power required to light up the display and therefore increase battery life.

QuickPath Type

This is one of those features that has been offered by other third party keyboards on iOS but is none-the-less a welcome addition. You can now type by swyping on the built-in keyboard therefore making it faster and easier for one-handed usage.

SMB Access in Files app

If you work as part of a corporate domain, you can now mount your shared network drives in the Files and easily transfer files to and from them.

Zip and Unzip Support in Files app

Yep, the ability to zip and unzip files in now native to the Files app.

Download Manager in Safari

Safari browser is now all grown up. With an integrated download manager, you can save files directly to local or Cloud storage using the Files app.

Mass Storage Support in Files app

This is way overdue and personally would have been happy if it was the only enhancement to the OS. The Files app now supports external USB storage so that you can copy files to and from them. Applications like Lightroom can now also bypass the Cameral roll and access USB storage directly.

Mouse Support

You read that correctly, you can now use a wired or Bluetooth mouse to control the iPad. This is an accessibility feature that is part of Assistive Touch in iPadOS.

Multi-Window Support

When creating content, one useful feature is the ability to have 2 windows side-by-side so that you can easily access your reference material. iOS 12 added the ability to have 2 apps side-by-side but this has been improved in iOS 13 so that you can have multiple instances of the same app in different "spaces". For example, I could have Safari and Byword in one space and Safari and Notes in another.

Improved Text Editing

Text selection and cursor placement has been greatly improved and iPadOS introduces new 3-finger gestures for copying and pasting text.


Use iPad as an External Monitor

When paired with a Mac running macOS Catalina (10.15), an iPad running iPadOS can now be used as an external monitor to extend or mirror the disipay.
